BOARD MEETING MINUTES

CCWGA Board Meeting Minutes 

April 7, 2026

Attendance:

- Executive Board: Patty Lin (Captain), Nancy Briest (Membership), Bev Cabellon (Treasurer), Louise Fong(Handicap), Lisa Hatchett (Rules), Barb Mehan (Social), Pat Rocero (Tournaments), Melissa Ross (Secretary), Joanne Severs (Co-Captain), Lynn Wheeler (Advisor)

- Appointed Chairs: Teresa Howard (Guest Day), Darlene Lethin Patch and Rosmary Bartsch (EBTP), Mary Miller (Major Tournaments), Ann Pons and Jeanine Schreiber (Open Day), Cheri Stoudt (Invitational)

Meeting called to order at 1:23 PM

1. Executive Board Reports

A. The March 4, 2026 board meeting minutes were provided by Melissa Ross (Secretary). Barb Mehan motioned to approve and Lisa Hatchett seconded; meeting minutes were approved unanimously.

B. Bev Cabellon (Treasurer) had nothing to report.

C. Joanne Severs (Co-Captain) had nothing to report.

D. Lisa Hatchett (Rules) shared that there will be a match play rules seminar on April 8 at 5:30 PM, both in person and by Zoom.

E. Pat Rocero (Tournaments) had nothing to report. For today’s play, the first three tee times had been reserved for the board and filled up, so going forward we will try to reserve four.

F. Nancy Briest (Membership) had nothing to report.

G. Barb Mehan (Social) had nothing to report.

H. Louise Fong (Handicap) had nothing to report.

2. Appointed Board Reports

A. Joanne Severs reviewed the major tournaments details for Mary Miller (Major Tournaments) who was not present. See attached. Patty Lin motioned to approve, Bev Cabellon seconded; major tournament plan was approved unanimously.

B. Cheri Stoudt (Invitational Chair) provided an update on the Invitational as follows:

a. Entry form will be sent out next week.

b. The committee is ahead of schedule.

c. Patty Lin requested and Cheri Stoudt agreed to give consideration to

changing the derby to 3 or 4 holes from 6 holes.

C. Darlene Lethin Patch and Rosmary Bartsch (EBTP) provided the following update:

a. Remind people to sign-up and cancel in a timely manner.

b. Preliminary rosters will be sent out about 15 days ahead of the match.

c. EBTP will be very strict about cell phone policies this year; cell phones will not be permitted unless there is an emergency. A ringing or audible cell phone during play will result in the loss of the hole. (The phone can be

used for GPS, but you should let your opponent know that you are doing this ahead of time and that it is in tournament mode.)

d. Slow play will also be enforced.

e. Model Rule E5, alternate stroke and distance, will be used for EBTP for all courses.

f. For posting, individual players will be responsible for posting their scores, after Rosmary or Darlene approves it on the same day of the tournament.

g. Team members are required to wear the team shirt; if someone does not have a shirt, please contact Rosmary or Darlene.

h. Lisa Hatchett will share the team play cheat sheet on the CCWGA website.

D. Teresa Howard (Guest Day) updated the group that the theme will be "Garden Party" on June 9. Sign-ups will be online. Price will be $60 per person, inclusive of everything (carts, lunch, prizes), billed to the member's account. Members can have up to three guests, and guests can be members of Crow Canyon but not CCWGA, as long as they have a GHIN. The member signs up their whole team and will be billed from the Pro shop. The format will be a four person scramble.

E. Ann Pons and Jeanine Schrieber provided a recap on the successful "Friends Fun Day" (formerly Open Day) on March 31. Only six participants cancelled due to the rain. Attendees pre-ordered meals (instead of ordering at the restaurant). If there are any issues with billing, contact Jeanine. The pace of play was good, and signing up online worked well. Tournament chairs should communicate with Kyle (operations) ahead of time to make sure the toilets are stocked with toilet paper.

F. Lynn Wheeler (Advisor) had nothing to report.

G. Robin Morris was not present and had nothing to report.

H. Stefanie Lee (Website) was not present and had nothing to report.

2026 DECISION LOG

January 6, 2026

- 2026 CCWGA calendar of events conditionally approved by BOD.

- Open Day (“Friends Fun Day”) format, budget and date was approved by BOD. 

March 3, 2026

- 2026 budget approved by BOD.

- Budgets, formats, and dates were approved by BOD for: Invitational, Mini-Invitational, Red/Blue Team Challenge, and Guest Day.

- Bay Club has agreed going forward that the cart fees will be $25 for all tournament guests (excluding members that either have a cart or are not charged for cart fees), or $15 for everyone (including members that have their own cart or are not charged for fees).

- Major tournament formats approved by BOD.
